The challenge

A leave request needs an answer, but unclear allowance, overlapping leave and missing context make a fair decision harder than it should be.

What good looks like

Clear requests, prompt decisions and visible approved leave help everyone plan with confidence.

In Zizzy, booking time off is quick and easy. At the top of the page, you can check how much holiday allowance you have left.

To get started, open Quick Actions and select Request Time Off. Then simply choose the leave type, dates, and duration.

Add a note if needed, then submit your request for approval. You can also get here by selecting the Time button and opening the Time Off tab.

From here, you can view your holiday breakdown, pending requests, and sickness information. If you need to provide supporting evidence for an absence, select the relevant absence and upload your documents here.

You can also check your absence history, along with upcoming and pending holiday requests. For any sickness leave, select this button to add your details.

You can include anything your team needs to know, including whether it relates to something that happened at work. And that's it.

You now know how to book time off. Once your request is approved, it will appear in the team calendar, so everyone can easily see when you're away and stay up to date.

A leave request is also a promise about cover

A leave request may be personal, but approving it creates a shared commitment. The employee needs to know they can make plans. Their manager needs confidence that essential work is covered. Colleagues need enough notice to adjust deadlines, meetings or customer commitments.

That is why booking time off becomes difficult when the request is only half the story. The dates may be sitting in an email, the remaining allowance somewhere else, and another colleague’s approved leave in a separate calendar. Even a straightforward decision then depends on searching, checking and remembering.

The uncertainty has a human cost. Employees hesitate to book travel because approval is still unclear. Managers worry about treating similar requests differently. Colleagues discover an absence after they have already planned work around the wrong assumptions. Nobody is necessarily being careless. The process simply asks people to hold too much context in their heads.

A sound leave process should make the request complete enough to decide, without asking employees to write an essay or managers to become detectives.

Fair decisions need visible facts

The calmer approach starts by separating what must be known from what is merely helpful. A useful request identifies the leave type, dates and duration. It may also include a short note where context genuinely affects the decision. The employee should be able to see their remaining annual leave allowance and whether the request is still pending.

Managers then need to respond against clear principles. Is there enough cover? Are there important commitments that cannot move? Have comparable requests been handled consistently? A quick refusal without explanation damages trust, but a request left unanswered can be just as disruptive. Silence prevents both the employee and the team from planning properly.

Approved leave should also become visible to the people affected by it. That does not mean sharing private medical details or the reason behind every absence. It means giving colleagues reliable information about when someone will be away, so work can be arranged without gossip or guesswork.

Sickness needs particular care. Supporting evidence and relevant details may be necessary, including whether an absence relates to something that happened at work. Those records should remain connected to the absence rather than scattered through inboxes.

One clear record makes leave easier to trust

Zizzy brings the practical parts of booking time off together. An employee can check their annual leave allowance, choose the leave type, dates and duration, add a note where needed and submit the request for approval. They can also see pending requests, upcoming leave, absence history and sickness information in the same place.

Once a request is approved, it appears in the team calendar. That small change matters because approval no longer lives only between the employee and manager. The team can plan around the absence using a shared, current view, without exposing unnecessary personal detail.

For sickness leave, employees can add the information their team needs to know, including whether the absence relates to something that happened at work. Supporting documents can be uploaded against the relevant absence, keeping evidence with the record it belongs to.

The wider lesson is not that every leave decision can be automated. Judgement still matters, especially when several people want similar dates or circumstances are sensitive. The aim is to give that judgement a solid base: a complete request, visible status, accurate history and a clear outcome. When those basics are dependable, booking time off feels less like asking a favour and more like a normal, well-run part of working life.
